Everything About Custom Projects and Automation

Our goal is to free your team's time from manual, repetitive work and redirect it toward the areas where it creates real value. That's why every custom project starts with a deep understanding of your processes; only then do we design a solution that fits that process precisely, without unnecessary complexity.

Custom Software Development

We build software from scratch for needs specific to your business that off-the-shelf software on the market doesn't cover. From a simple internal tracking tool to a comprehensive platform your customers will use too, we build solutions that scale to the size of your need.

On every custom software project, we first map your current process (spreadsheets, email traffic, manually moving data between different systems), then determine together which parts of that process can be automated with software.

  • Needs analysis and process mapping
  • Custom admin panels and internal tools
  • Custom web- and mobile-based applications
  • Scalable, easy-to-maintain code architecture

Business Process Automation

By automating repetitive, rule-based work (invoice generation, stock alerts, post-form emails, appointment reminders), we let your team focus on growth instead of operational load. We build automations that integrate with the tools you already use (email, calendar, CRM, accounting software).

When starting an automation project, we first identify the repetitive task costing you the most time, and automate the process step by step from there. This gradual approach also makes it easier for your team to adapt to the new system.

API Integrations and Data Flow Between Systems

We build integrations that let the different software you use (your e-commerce platform, accounting software, CRM, shipping tracking system) talk to each other. This way, you no longer have to manually enter the same data into multiple systems, eliminating the risk of errors and wasted time.

Especially for growing businesses, as the number of tools in use increases, the disconnect between these systems becomes increasingly costly. A properly built integration layer turns these tools into a single, coherent workflow.

AI-Powered Automations

From chat assistants that answer customer questions to systems that automatically classify incoming documents, we integrate current AI tools into your business processes in a meaningful, measured way. We use AI not as a showcase feature, but wherever it delivers a concrete saving in time and cost.

  • Support assistants that answer frequently asked questions
  • Automatic processing of document and form data
  • Content and report draft automation
  • AI features integrated into your existing systems

Process Consulting

You don't always need new software written — sometimes reorganizing your existing processes and using the right tools in the right order is enough. In our first meeting, we review your processes together and lay out a clear roadmap showing which steps are best suited to automation and offer the highest return.

This consulting phase helps clarify the scope of the solution you actually need, before diving into an unnecessarily complex software project.

Why Invest in Custom Software and Automation?

Off-the-shelf software addresses general needs — but what sets your business apart from your competitors is exactly your own unique processes. Supporting those processes with custom software instead of squeezing them into an off-the-shelf mold both increases operational efficiency and turns into a long-term competitive advantage.

Reducing human error from manual work, freeing your team's time for more strategic tasks, and building a solid technical infrastructure that can scale as you grow are the most concrete returns of investing in custom software and automation.

Where We Start: Process First, Software Second

A significant share of automation requests aren't really software requests. In some jobs that arrive as "automate this", simplifying the process removes the need for automation altogether — which doesn't earn us money but does save you some, and it's the right call long term.

So the first step isn't writing, it's observing: how is the work done today, how many people touch it, where does it wait, where do errors appear. Once that's mapped, three things usually become visible. Some steps are unnecessary and get removed. Some should stay with a person (they require judgement). The rest can be automated.

The typical outcome of projects run in the wrong order is this: the existing complicated process is translated into code as-is, and what emerges is a system that's expensive to maintain and that nobody fully understands. Automating a complicated process speeds it up but doesn't fix it.

1. Map the process

How the work is done today, who touches it, where it waits, where errors appear.

2. Simplify

Unnecessary steps are removed. Sometimes this step alone ends the need for automation.

3. Draw the line

Steps requiring judgement stay with people; repetitive, rule-based ones get automated.

4. Build and measure

The software is built, run on a small scope first, the gain measured, then expanded.

What Should and Shouldn't Be Automated

Where automation works is clear: repetitive work with well-defined rules and high volume. Taking data from a file and writing it into another system, sending the same email personalised to different people, preparing the same report every month, opening a record and notifying the right person when a form arrives.

Where automation is a bad idea is equally clear: work full of exceptions, requiring judgement each time, at low volume. Automating something done three times a month that needs a different decision each time will never recover its build and maintenance cost.

A practical threshold: if a job repeats at least a few times a week and its rules can be written down, automation is worth discussing. If you can't write the rules down, there isn't anything to automate yet — those rules need settling first.

  • Good candidate: repetitive, rule-based, high-volume work
  • Poor candidate: exception-heavy, judgement-based work done a few times a month
  • Threshold: repeats a few times a week + the rules can be written down
  • If the rules can't be written, the process is settled first and automation discussed after

Ownership, Source Code and Lock-In

This is the most critical and least discussed subject in custom software: when the work is finished, what do you actually hold?

The source code of the software we build stays with you. The accounts used (server, database, third-party services) are opened in your name; we don't open them in ours and leave you as a tenant. At handover we provide a short technical note setting out the setup and run steps in writing.

Our reasoning: a business's operating process shouldn't be locked to an agency. We'd like you to keep working with us, but the reason should be that we do the work well, not that you have no alternative.

The maintenance boundary is equally clear: fixing bugs and keeping things running is maintenance; building new features is new scope and is quoted separately.

  • The source code stays with you
  • Accounts are opened in your name (server, database, third-party services)
  • Setup and run steps are delivered in writing
  • Maintenance = bug fixes and keeping it running; new features = new scope

Where the Line Sits in AI-Assisted Automation

AI does what classic automation can't in work without clear rules: summarising text, classifying, extracting data from free-form text. But it has one characteristic: it always produces an answer, and it doesn't guarantee the answer is correct.

So the AI-assisted flows we build follow two rules. First: if a wrong result is costly, we put human approval in the loop. A flow that reads an invoice total and writes it into accounting shouldn't run unapproved.

Second: the model's output is logged, so the question "why did it decide that?" can be answered later. An automation without a log becomes a blind spot the moment something goes wrong.

Which service customer data goes to is also written down upfront. If personal data is processed, leaving that vague creates legal risk.

  • Where a wrong result is costly, human approval is in the loop
  • Model outputs are logged — auditable afterwards
  • Which service the data goes to is written down upfront
  • If personal data is processed, scope and retention are settled explicitly

Frequently Asked Questions

It depends on scope; a simple automation can be completed in a few weeks, while a comprehensive custom software platform may take a few months. We share a clear timeline after the initial analysis call.
